Guard management & onboarding
The foundation of Patrovix. Every guard gets a digital profile covering personal details, employment details, SIA licence, pay rate, next of kin, emergency contacts, and full compliance status. Guards onboard themselves digitally — uploading documents and providing employment history — all of which flows directly into the BS7858 vetting queue.
BS7858 compliance & SIA vetting
Patrovix implements the full BS7858:2019 screening standard as a digital workflow. Each section — identity, DBS, right to work, employment history, address history, references, driving details, equal opportunities, WTR opt-out, and declarations — is tracked with a per-field status system (pending / in progress / verified / failed). The overall compliance status is auto-calculated and guard portal access is only granted once all required sections are verified.
SIA licence verification uses a live API connection to the SIA register, returning licence name, role, sector, status, and expiry date. Every verification is logged in the audit trail.

The Patrovix scheduling engine lets operations managers build and publish rotas, assign guards to sites and shifts, set shift task requirements, and manage open shift coverage. When staff are unavailable, eligible guards can apply for open shifts directly from their portal. AI-powered demand forecasting analyses historical patterns to recommend future staffing levels — reducing last-minute scrambles.
Time & Attendance
Guards clock in and out via the mobile portal. GPS location is captured at clock-in to verify on-site presence. Digital timesheets are auto-generated from shift data, moving through a configurable multi-level approval workflow before payroll export.

The operations layer gives managers live visibility and reporting capability across every site — without being physically present.
Guard tours & patrol
Configure patrol routes with NFC/QR checkpoints. Track real-time tour progress, receive missed-checkpoint alerts, and generate timestamped patrol reports for clients and management — automatically.
Incident reporting
Guards raise incidents from mobile (photos, location, type). Incidents route to the supervisor, are tracked through a workflow (open → actioned → resolved), and appear in client-facing reports.
Command Centre
A live aggregated operations dashboard giving supervisors real-time visibility across all sites — current shift status, recent incidents, check-call alerts, and tour progress — in one view.
Risk scoring
Automatic per-site risk scores based on incident frequency, tour compliance, staffing consistency, and SLA performance — helping managers prioritise where attention is needed.
Asset management
Track equipment issued to guards — radios, keys, PPE, uniforms. Asset handover records with digital sign-off. Automated alerts on assets due for return or renewal.
Document store
Centralised document repository for site instructions, SOPs, risk assessments, policies, and guard-specific documents. Version controlled, accessible to the right people.
Client portal & reporting
